This privacy policy explains how LoopWord (OnLine Translation, CVR 13007438, Fredericiagade 23, DK-6000 Kolding) processes personal data relating to users and customers.
We are committed to protecting your data and complying with applicable legislation, including the EU General Data Protection Regulation (GDPR) and the Danish Data Protection Act.

2. Types of Personal Data We Process
We process the following categories of personal data:
Contact details: name, e-mail address, and, where applicable, telephone number.
Company information: company name, address, CVR number (for business customers).
Login details: username and password (encrypted).
Payment information: subscription type, billing history (card details are processed exclusively by Stripe).
Usage data: licence management, log of user activity in LoopWord.
3. Purpose and Legal Basis
We process personal data for the following purposes:
Creation and administration of subscriptions

Invoicing and accounting
Legal basis: GDPR Art. 6(1)(c) (legal obligation under the Danish Bookkeeping Act).

Operation and improvement of the service (e.g. logging, troubleshooting, security)

4. Data Processors and Transfers to Third Countries
We use external providers for hosting and payment services:
Stripe (payment processor): processes payment data on our behalf. Stripe is certified under the EU Standard Contractual Clauses.
Hetzner Online GmbH (hosting): stores data within the EU.
We do not disclose personal data to other third parties without your consent, unless we are legally required to do so.
5. Storage Period
Customer data is retained for as long as the customer relationship exists.
Information related to accounting and invoicing is retained for five years in accordance with the Danish Bookkeeping Act.
Data processed on the basis of consent (e.g. newsletters) is deleted once consent is withdrawn.
6. Your Rights
As a registered user, you have the following rights under GDPR:
Right of access to your data.
Right to rectification of inaccurate information.
Right to erasure (“the right to be forgotten”).
Right to restriction of processing.
Right to data portability (to receive your data in a structured, commonly used, machine-readable format).
Right to object to processing based on legitimate interests.

Requests may be submitted to online@online-translattion.dk. We will respond without undue delay and no later than one month after receipt.
7. Security
We protect your information through technical and organisational security measures. Access to your data is restricted to authorised personnel.
Payment card information is handled exclusively by Stripe and is not stored by LoopWord.
