Terms and conditions

1. General

1.1 These terms and conditions set out the rights and obligations of the customer and LoopWord (part of OnLine Translation) in relation to the services provided by LoopWord via this website.

1.2 LoopWord is a web-based translation tool owned by DEJS Holding ApS and licensed to OnLine Translation.

1.3 By subscribing to LoopWord, the customer agrees to be bound by these terms and conditions, and the agreement is reaffirmed each time the customer uses LoopWord.


2. Conditions of use of LoopWord

2.1 The customer is obliged to register with correct information, including name, address and other necessary details.

2.2 Companies subscribing to a group licence must appoint one or more group administrators who will create user accounts and assign access codes and user IDs.

2.3 A group licence belongs to one legal entity. Users from other legal entities cannot be associated with the licence. However, external translators (freelancers) may be linked to the group for a limited period.

2.4 The customer may at any time manage the number of licences via their Stripe account. Changes to the number of licences will immediately adjust the subscription price pro rata and take effect without delay.


3. Registration policy

3.1 LoopWord stores the customer’s master data (name, address, e-mail) for as long as a customer relationship exists.

3.2 LoopWord retains documentation of purchases in accordance with the Danish Bookkeeping Act for five years. The customer may request access to their registered data at any time, subject to a possible administrative fee.

3.3 All information is treated confidentially and is not disclosed to third parties, cf. the separate privacy policy.


4. Pending registrations

4.1 If you begin but do not complete account registration, we will:

  • Retain your registration data for 30 days to allow you to complete the process.

  • Automatically anonymise your data after 30 days, making it non-identifiable.

  • Permanently delete all data, including anonymised records, after 90 days.

4.2 Business Purpose: Anonymised data is used solely to improve our registration process and to understand user experience patterns.

4.3 Your Rights: You may request immediate deletion of pending registration data at any time by contacting kontakt@loopword.com.


5. Customer’s breach of contract

5.1 LoopWord may terminate the agreement without notice in the event of breach of contract, provision of false information, or misuse. Accounts closed due to material breach cannot be reopened without prior consent from LoopWord.

5.2 In the event of material breach, including non-payment or bankruptcy, LoopWord may close access to the service without notice.


6. Liability

6.1 All intellectual property rights in LoopWord are owned by DEJS Holding ApS and licensed to OnLine Translation. The customer acquires no copyright.

6.2 LoopWord is liable under Danish law subject to the following limitations:

  1. No liability for indirect losses, including loss of profit or production.

  2. No financial liability for incorrect translations.

  3. The customer accepts responsibility for copyright in relation to their own terms and segments.

  4. LoopWord’s total liability cannot exceed the amount paid by the customer for the relevant assignment.

6.3 LoopWord reserves the right to continuously update and improve the service.


7. Security

7.1 LoopWord secures customer data with appropriate security procedures and is hosted by Hetzner Online GmbH (www.hetzner.com). The customer must safeguard access credentials and log out after use.

7.2 Payment card information is processed by Stripe, and LoopWord has no access to such information.


8. Privacy policy

8.1 LoopWord maintains a separate privacy policy governing the processing of personal data.


9. Responsibility for content

9.1 The customer is responsible for all content, including translations, terms and segments, stored or shared by users linked to the customer’s account or group licence.

9.2 LoopWord accepts no responsibility for the accuracy, quality, legality, or any infringement of third-party rights in relation to such content.

9.3 The customer must ensure that users comply with applicable legislation and rights when using LoopWord.


10. Transaction information

10.1 The customer may at any time view all payment transactions, changes, and invoices directly in their Stripe account.

10.2 LoopWord does not store transaction data. All transaction history is stored in Stripe. LoopWord only processes transaction confirmations for the purpose of notifying the customer when a payment has been completed.


11. Ownership of terms and segments

11.1 All terms and segments are owned by the customer. Upon termination, the customer is responsible for exporting their data. If this is not done, the data will be deleted by LoopWord.


12. Support

12.1 Users with a full licence have access to LoopWord Support.


13. Development

13.1 LoopWord continuously develops new features. Some are included in support and upgrades, while others are sold as separate modules or as add-on services on a licence basis.


14. Prices

14.1 All current prices and discounts are available on the LoopWord website and are shown during registration.

14.2 The price specified in the order cannot be changed for the relevant subscription period.

14.3 LoopWord reserves the right to adjust prices for Support & Upgrade in line with market developments.

14.4 When licences are added or reduced, the price is adjusted immediately pro rata via Stripe.


15. Termination and amendment of subscription

15.1 The customer may terminate their subscription at any time via their Stripe account. Termination will take effect at the end of the current subscription period (monthly or annually). No refund will be provided for the remaining period, and access will be closed thereafter.

15.2 The customer may at any time via Stripe add or remove licences and change the subscription type. Price changes will take effect immediately pro rata.

15.3 Upon termination, the customer’s login credentials to LoopWord will no longer function, and access to the Customer Portal will cease. Transaction data and invoices remain stored in Stripe, but are not accessible through LoopWord once the subscription has ended.


16. Force majeure

16.1 LoopWord is not liable for non-delivery or interruptions caused by circumstances beyond its control, including but not limited to server failure, internet outages, natural disasters, war, strikes, lockouts or epidemics.


17. Assignment of the subscription agreement

17.1 LoopWord may assign the agreement to affiliated companies or in connection with a transfer of the business.

17.2 The customer may not assign rights or obligations under the agreement.


18. Disputes

18.1 Disputes shall be governed by Danish law with the District Court of Kolding as the agreed venue.
